Client Ser­vice Associate

Zevin Asset Man­age­ment has an imme­di­ate open­ing for a full-​time Client Ser­vice Asso­ciate. This is a multi-​faceted sup­port role that requires top notch orga­ni­za­tional skills, atten­tion to detail, and a service-​oriented mind-​set.

Founded in 1997, Zevin Asset Man­age­ment is a Boston-​based employee-​owned invest­ment firm spe­cial­iz­ing in Socially Respon­si­ble Invest­ing. Our staff and clients are attracted both by our long his­tory of active engage­ment in the socially respon­si­ble invest­ment move­ment and by our invest­ment phi­los­o­phy and long-​term results.

Job Descrip­tion

This posi­tion will involve work­ing with our port­fo­lio man­agers on many dif­fer­ent client ser­vice duties with the abil­ity to man­age sev­eral tasks simul­ta­ne­ously and to be flex­i­ble about tack­ling new and unan­tic­i­pated chal­lenges. Atten­tion to detail, good com­mu­ni­ca­tion and writ­ing skills, the abil­ity to work inde­pen­dently and take ini­tia­tive, and also to appro­pri­ately han­dle con­fi­den­tial client infor­ma­tion are required. The tasks asso­ci­ated with the role are:

  • Set­ting up new client accounts and fill­ing out trans­fer paperwork
  • Set­ting up and fol­low­ing through with ongo­ing client remit­tances, requests for funds, gifts, and distributions
  • Man­ag­ing day-​to-​day com­mu­ni­ca­tions with clients; answer any clients’ requests for infor­ma­tion; han­dle client paperwork,
  • Man­ag­ing RMD processes
  • Assist­ing in prepar­ing and dis­trib­ut­ing monthly/​quarterly state­ments and reports to clients and consultants
  • Set­ting up quar­terly tax pay­ments for clients and coor­di­nate the pay­ments with Axys, mak­ing sure funds are avail­able to cover the payments
  • Com­mu­ni­cat­ing with bro­kers and cus­to­di­ans regard­ing changes/​updates to client accounts
  • Becom­ing our CRM cham­pion and coordinator
  • Set­ting up and main­tain­ing CRM client ser­vice actions with appro­pri­ate due dates
  • Keep­ing our CRM up-​to-​date with new client info and changes to exist­ing client information

Skills and Experience

The posi­tion calls for a mature and trust­wor­thy indi­vid­ual with strong com­mu­ni­ca­tion skills. If you have the fol­low­ing, we’d like to hear from you:

  • Strong orga­ni­za­tional skills with the abil­ity to man­age and track projects
  • Self-​starter with a pos­i­tive can-​do atti­tude wel­com­ing of new chal­lenges in a constantly-​changing environment
  • Excel­lent com­mu­ni­ca­tor — on the phone, by email, in writing
  • Peo­ple per­son, team player with a pos­i­tive and help­ful approach to pro­fes­sional interactions
  • Proac­tive, detail-​oriented, task-​focused problem-​solver excited by opti­miz­ing processes
  • Abil­ity to work on mul­ti­ple, simul­ta­ne­ous projects and man­age com­pet­ing priorities
  • Col­lege degree and 37 years rel­e­vant work experience
  • Pre­vi­ous expe­ri­ence with CRM (ide­ally Salesforce/​XLR8), port­fo­lio man­age­ment sys­tems (Advent Axys) and client reporting
  • Strong with Word, Excel (e.g. MailMerge, V-​Lookups etc).

Client ser­vice expe­ri­ence in a wealth man­age­ment firm is essential.

Com­pen­sa­tion

Zevin Asset Man­age­ment offers a com­pen­sa­tion pro­gram that includes base salary, annual bonus, and equity par­tic­i­pa­tion in the busi­ness.
